Dear all,                                              
We would like to announce the important information about the Google Workspace (G Suite) Education Edition.

1.According to the operation schedule of March 31 "The 5th Google Workspace (G Suite) Education Edition Storage Policy Change Response Plan.", [Shared Cloud Drive Space] will be deleted from May 1. 

2.According to the current storage space usage of the whole school, the usage of [Personal Cloud Drive Storage Space] is about 2.2 PB, and the usage of [Shared Cloud Drive Space] is about 4 PB. After deletion, 4 PB of space will be released. If the school fails to reduce the shared space to less than 100 TB by 7/1 in time, the user accounts of the whole school will not be able to use Google Workspace services normally.

3.On June 1st, the Google Workspace account of the [Personal Cloud Drive storage space plus GMAIL space] with a capacity of more than 8 GB will be deleted. (Once the data is deleted, it cannot be recovered).

4.The alumni Google Workspace service will no longer be available from June 1, and all alumni accounts will be deleted at that time. (Once the data is deleted, it cannot be recovered).

As a reminder, your Workspace account is for educational use. If you have personal files or content, move those files to your personal Google Drive.

5.Work schedule

• From now on, the function, "Create the Shared Drive", will be disabled, and users will not be allowed to create a new shared cloud drive. (The shared drive is not included in the personal space, but it is 100TB of the university space. )  The existing shared cloud drive can still be used, but please remove it as soon as possible).
• For the faculty, staff, and students, please reduce the space usage to less than 8GB before April 20, however, the alumni must clear all the space.
• The usage of staff, student and, alumni accounts will be disabled from April 21 if it is more than 8GB.
• One should go to the computer center to access the deleted accounts for the data backup, and one can only do the application for one time.
• All contents of the shared drive will be deleted on May 1, and the data cannot be recovered once it is deleted.
• All the accounts of the alumni, faculty and student with more than 8 GB of storage space will be deleted on June 1.  ONCE THE ACCOUNT IS DELETED, THE DATA CANNOT BE RECOVERED.

 
6.Process of the data deletion and relocation.

• Please go to https://network.ntust.edu.tw/suspendGoogle/Index <https://network.ntust.edu.tw/suspendGoogle/Index>  to apply for G suit account by the time limit.  You can apply for access by yourself (before activation. One will be asked to verify your NTUST mailbox account password to log in)
• Please check your space usage at https://drive.google.com/settings/storage <https://drive.google.com/settings/storage> 
• Please go to https://drive.google.com/drive/quota <https://drive.google.com/drive/quota>  to delete useless files in Drive
• Please go to https://drive.google.com/drive/shared-drives <https://drive.google.com/drive/shared-drives>  to delete useless files in Shared Drives
• Please go to https://drive.google.com/drive/trash <https://drive.google.com/drive/trash>  "Empty Trash" ("Empty Trash" must be done.)
• Please delete outdated or useless messages in Gmail
